Privacy policy

1. Who we are
Fidelance is an independent Odoo consulting practice based in Serbia. We work as a dedicated freelance team with a small number of clients. We are not an Odoo partner and are not affiliated with, endorsed by or verified by Odoo SA.
This policy explains how we handle personal data when you visit this website, contact us or work with us. For these purposes Fidelance is the data controller. You can reach us about any privacy question through our contact form.
2. Data we collect
- When you contact us: your name, email address, phone number if you give it, company name and your message.
- When we work together: contact and billing details of the people we work with, project correspondence, meeting and workshop notes, and the process documentation we produce with you.
- When you browse this website: technical data such as IP address, browser type, pages visited and time of the visit, processed by our hosting provider, and the pages you viewed with your approximate country and language.
We do not ask for sensitive data such as health information. Please do not send it to us.
3. Why we use your data
- To answer your enquiry and prepare a proposal. Legal basis: steps taken at your request before a contract, and our legitimate interest in replying to you.
- To deliver our services and invoice them. Legal basis: performance of our contract with you, and our legal obligations under accounting and tax law.
- To run, secure and improve this website. Legal basis: our legitimate interest in a reliable and secure website.
We do not sell personal data, we do not send marketing emails without your consent, and we do not make decisions about you by automated means alone.
Legal bases refer to Article 6 of the EU General Data Protection Regulation (GDPR). Where the Swiss Federal Act on Data Protection (FADP) or the Serbian Law on Personal Data Protection applies, we process data in line with their equivalent principles.
4. Data in your Odoo database
When we map, configure, migrate or support your Odoo system, we may see personal data stored in it, for example about your customers, suppliers or employees. For that data you remain the controller and we act as your processor.
- We use that data only on your documented instructions and only for the agreed work.
- We keep it confidential and access only what the task requires.
- We return or delete working copies, such as migration files, when the engagement ends, unless the law requires us to keep them.
- We sign a data processing agreement with you, including the EU Standard Contractual Clauses where required.
5. Who we share data with
- Odoo SA (Belgium) hosts this website and our business system on Odoo Online, including contact form messages and website statistics.
- Our email and communication providers, which carry our correspondence and the video calls we agree with you.
- Additional specialists, only if a project needs one, only with your prior agreement and under confidentiality.
- Accountants, tax advisers and authorities, where the law requires it.
Links to LinkedIn are plain links. LinkedIn receives data only if you click them.
6. International transfers
We work from Serbia, which is outside the EU, the EEA and Switzerland. Serbian data protection law is modelled on the GDPR. When we process data from your Odoo database as your processor, we put the EU Standard Contractual Clauses in place with you where required, which Switzerland also recognises.
7. How long we keep data
- Enquiries that do not lead to a project: up to 2 years after our last contact.
- Client and project records: for the duration of our work together, and invoices and accounting records for as long as accounting and tax law requires.
- Website visit records: deleted automatically after a period of inactivity.
8. Cookies and statistics
This website uses only the cookies it needs to work: a session cookie, your language choice and, if you arrive through a tagged campaign link, the campaign source. We do not use advertising or social media trackers.
Website statistics are provided through Odoo with Plausible Analytics, which works without cookies and reports only aggregated figures. Fonts are served from this website, not from Google.
9. Your rights
You can ask us for access to your data, a copy of it, its correction or deletion, or a restriction of its use. You can object to processing based on our legitimate interests and withdraw any consent you gave, at any time and without affecting earlier processing.
To exercise a right, write to us through our contact form. We reply within one month.
You can also complain to a supervisory authority: the authority in your EU country, the Swiss Federal Data Protection and Information Commissioner (FDPIC), or the Serbian Commissioner for Information of Public Importance and Personal Data Protection.
10. Security
We protect personal data with appropriate technical and organisational measures, such as access control, strong authentication and confidentiality obligations for everyone who works on your project.
11. Changes to this policy
We update this policy when our services or the law change. The date at the top shows the latest version.
